The Opportunity

arenaflex is seeking a highly skilled and motivated Energy Services Data Entry Specialist to join our dynamic team remotely. This full-time position represents a unique opportunity to contribute directly to our mission of supporting vulnerable populations through comprehensive energy assistance programs. As a critical member of our operations team, you will play a pivotal role in ensuring the accurate management and processing of client data that directly impacts the delivery of essential services to those in need.

Position Overview

The Energy Services Data Entry Specialist at arenaflex will be responsible for maintaining organized, accurate, and up-to-date digital files that form the backbone of our energy services programs. This remote position requires meticulous attention to detail, proficiency with multiple database systems, and a deep understanding of the sensitive nature of client information. You will be the guardian of data integrity, ensuring that our service delivery remains seamless, compliant, and responsive to the needs of our diverse client population.

Key Responsibilities

  • Input and maintain comprehensive client status records in the Statewide Client Service Center, ensuring the current production pipeline is accurately reflected and consistently updated
  • Monitor and respond to program emails, diligently logging all documents and communications in the Monday.com platform to maintain clear communication channels
  • Strictly adhere to program guidelines for all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and other specialized platforms
  • Maintain meticulously organized digital and paper participant files in full compliance with agency standards and funder requirements
  • Collaborate effectively with program staff to enhance communication consistency and service delivery quality across all energy assistance programs
  • Provide comprehensive clerical support, including filing, mail preparation, phone coverage, and other administrative tasks as needed
  • Maintain consistent availability for remote work requirements, promptly responding to emails, attending virtual meetings, and performing regular duties as assigned
  • Participate actively in all required staff meetings, supervision sessions, training programs, and contractual obligations
  • Complete all mandatory agency training and relevant professional development activities to maintain current knowledge of energy assistance programs
  • Uphold the highest standards of confidentiality in all aspects of data handling and client information management
  • Perform additional related tasks as required to support the successful operation of the energy services department

Qualifications & Skills

Essential Requirements

  • Associate degree from an accredited institution or equivalent combination of education and professional experience
  • A minimum of two years of experience in human services, data management, or a closely related field
  • Demonstrated experience working with diverse individuals and families, particularly those with low incomes and complex needs
  • Proficiency in database management and data entry systems with exceptional attention to detail and accuracy
  • Strong organizational skills with the ability to manage multiple priorities and deadlines effectively
  • Excellent written and verbal communication skills suitable for professional interactions with colleagues and external partners
  • Ability to maintain strict confidentiality and handle sensitive information with appropriate discretion
  • Self-motivated professional capable of thriving in a remote work environment with minimal supervision
  • Strong problem-solving skills and the ability to adapt to changing program requirements and technology updates
  • Proficiency with standard office software including Microsoft Office suite and similar productivity tools

Preferred Qualifications

  • Bilingual proficiency in Spanish and English to better serve our diverse client population
  • Prior experience with specific energy assistance programs such as LIHEAP or HEARTWAP
  • Familiarity with human service case management systems and database platforms
  • Experience with Monday.com or similar project management and collaboration platforms
  • Knowledge of funder reporting requirements and compliance standards for human service programs
