Position Overview
arenaflex is seeking a detail‑oriented, self‑motivated Benefits Representative to join our corporate Benefits Office on a full‑time, remote basis. In this role, you will serve as the primary liaison between arenaflex employees, external benefit providers, and internal stakeholders, ensuring that all health, dental, vision, life, long‑term disability (LTD), flexible spending, and retirement plans are administered accurately and efficiently. Key Responsibilities
Benefits Processing & Administration
- Process enrollment, changes, and termination for health, dental, vision, life, LTD, and flexible spending accounts (FSAs) with a focus on accuracy and timeliness.
- Manage special enrollment events, such as qualifying life events (QLEs) and open enrollment periods, ensuring compliance with internal policies and regulatory requirements.
- Coordinate 401(k), Non‑Qualified Deferred Compensation (NQDC), and IRA enrollments, including plan documentation, employee communications, and vendor liaison.
- Generate weekly and monthly flexible spending reports, reconcile balances, and address any discrepancies with vendors or employees.
- Respond to employee inquiries regarding benefits eligibility, claim status, and coverage details, providing clear and empathetic guidance.
- Assist with COBRA administration, ensuring proper notice, documentation, and premium collection for former employees.
- Maintain and update benefits master files, plan documents, and employee records in the HRIS system.
Data Entry & System Management
- Enter and validate benefits data in the HRIS (preferably SAP SuccessFactors or equivalent) with a high degree of accuracy.
- Perform regular audits of benefits data to identify and correct inconsistencies, ensuring compliance with ERISA, HIPAA, and other applicable regulations.
- Develop and maintain standard operating procedures (SOPs) for benefits data entry, reporting, and documentation.
- Collaborate with the HRIS team to troubleshoot system issues, test enhancements, and implement new functionalities.
Reporting & Analysis
- Prepare monthly, quarterly, and annual benefits utilization reports for senior leadership, highlighting trends, cost drivers, and opportunities for plan optimization.
- Support the Benefits Director in preparing presentations for board meetings, shareholder updates, and external audits.
- Analyze employee feedback on benefits programs and recommend improvements to increase participation and satisfaction.
Cross‑Functional Collaboration
- Partner with Payroll, Finance, and Legal teams to ensure seamless integration of benefits deductions, tax reporting, and compliance initiatives.
- Serve as a point of contact for external benefit carriers, brokers, and third‑party administrators, fostering strong professional relationships.
- Assist in the onboarding of new hires by delivering benefits orientation sessions and guiding them through enrollment processes.
- Provide training and mentorship to junior benefits staff and other HR colleagues on benefits policies and data‑entry best practices.
Essential Qualifications
- 2–3 years of hands‑on experience in benefits administration, covering health, dental, vision, life, LTD, FSA, and retirement plans.
- Demonstrated knowledge of 401(k) regulations, ERISA, HIPAA, and COBRA compliance.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and experience using HRIS platforms—SAP SuccessFactors preferred.
- Exceptional attention to detail with a proven track record of accurate data entry and record‑keeping.
- Strong written and verbal communication skills, capable of translating complex benefits information into clear, user‑friendly language.
- Ability to manage multiple priorities, meet strict deadlines, and work independently in a remote environment.
- High school diploma or equivalent required; a bachelor’s degree in Human Resources, Business Administration, or a related field is a plus.
