Why This Role Matters

The Data Entry Associate position sits at the heart of arenaflex’s Process Management team within the Group Insurance sector. Every transaction you handle—whether it’s a premium adjustment, a settlement option, or a renewal statement—directly impacts the accuracy of policy records, the speed of customer service, and the overall trust that clients place in arenaflex. This is not a rote data‑entry job; it is a critical stewardship role that ensures the integrity of financial data across multiple platforms, including Salesforce, and supports the broader mission of delivering reliable, compliant, and customer‑centric insurance solutions.

Key Responsibilities

  • Manage a portfolio of 31 distinct transaction types across the Customer Communications Unit, Settlement Options Team, Money Out Team, Premium Team, Electronic Funds Transfer (EFT) Team, and Renewal Statements Team.
  • Create accurate value quotes, generate policy status letters, update beneficiary information, and process settlement options with meticulous attention to detail.
  • Review inbound referrals, validate data integrity, and coordinate with cross‑functional departments to resolve escalated cases promptly.
  • Assist the Premium Management team by processing policy changes, suspending premiums when required, and handling tax withholding adjustments.
  • Leverage Salesforce as the primary transaction platform, ensuring all work is captured, tracked, and reported in accordance with arenaflex’s governance standards.
  • Identify opportunities for process improvement, document best practices, and propose enhancements that increase efficiency and reduce error rates.
  • Provide timely, professional communication to internal stakeholders and external customers, tailoring messages to suit varied audiences.
  • Perform basic troubleshooting of common technical issues (e.g., internet connectivity, software glitches) to maintain uninterrupted workflow.
  • Collaborate with team members to share knowledge, mentor new hires, and contribute to a supportive, high‑performing work environment.

Essential Qualifications

  • Professional Demeanor: Demonstrated patience, composure, and a client‑service mindset in fast‑paced environments.
  • Problem‑Solving & Decision‑Making: Ability to analyze data discrepancies, make informed decisions, and escalate when necessary.
  • Experience with Salesforce: Prior exposure to Salesforce or similar CRM platforms is highly advantageous.
  • Life Insurance Knowledge: Familiarity with life insurance terminology and processes is a plus, though not mandatory.
  • Process Orientation: Proven ability to follow detailed procedures while actively seeking areas for improvement.
  • Initiative & Self‑Start: Demonstrated willingness to take ownership of tasks and assist teammates without constant supervision.
  • Excellent Communication Skills: Strong written and verbal abilities, with the capacity to adapt tone and style to diverse audiences.
  • Multi‑Tasking Capability: Comfortable juggling multiple responsibilities and meeting tight deadlines.
  • Ambition & People Skills: A drive to succeed, coupled with strong interpersonal skills that foster collaboration.
  • Basic Computer Proficiency: Competence with Microsoft Word, Excel, Outlook, Teams, and other standard office tools.
  • Basic Technical Troubleshooting: Ability to resolve simple connectivity or software issues independently.

Preferred Qualifications

  • Previous experience in a high‑volume data‑entry or transaction processing role within the insurance or financial services industry.
  • Certification or formal training in data management, information governance, or related fields.
  • Exposure to regulatory compliance standards such as HIPAA, GDPR, or state insurance regulations.
  • Demonstrated track record of contributing to process‑optimization initiatives that yielded measurable efficiency gains.
  • Experience working remotely for extended periods, showcasing disciplined time management and self‑motivation.

Core Skills & Competencies

  • Attention to Detail: Precision in data entry and verification to ensure zero‑error outcomes.
  • Analytical Thinking: Ability to interpret data trends, spot anomalies, and recommend corrective actions.
  • Customer‑Centric Mindset: Understanding of how accurate data directly influences customer satisfaction and trust.
